Cost Per Wedding Guest Calculator

Total budget ÷ guest count — or flip it around to find your maximum guest list.

The most useful ratio in wedding planning

Cost per guest is one of the simplest and most genuinely useful numbers in wedding planning, because it turns every guest-list decision into a concrete dollar amount. Once you know your budget divides out to, say, $220 per guest, adding a table of eight relatives isn't an abstract choice anymore — it's a specific, comparable cost against a specific benefit.

This calculator works in two directions. Enter your total budget and guest count to see the straightforward cost per guest — useful once your list is roughly set. Or flip to the reverse mode: enter your total budget and a target cost per guest you're comfortable with, and the calculator tells you the maximum guest list that number supports, plus how much budget is left over. That reverse calculation is often the more useful one early in planning, when the guest list is still the biggest open question.

Frequently asked questions

Is cost per guest the same as the catering price per plate?

No — catering price per plate is just the food and drink cost per person. Cost per guest as calculated here spreads your entire wedding budget, including venue, photography, flowers and everything else, evenly across every attendee, so it's always a higher number than the catering quote alone.

Why would I use the reverse mode instead of just guessing a guest count?

Because it removes the guesswork — instead of picking a guest count and hoping the math works out, you set the per-guest spending level you're comfortable with first, and the calculator tells you exactly how large a guest list that budget supports, which is often a more disciplined way to build the list.

Does the leftover amount in reverse mode mean I have extra money to spend?

It means your budget doesn't divide evenly at your maximum guest count — for example, a budget that supports 119.6 guests at your target rate rounds down to 119 actual guests, leaving a small remainder. You can treat that remainder as a buffer, or use it to invite one or two more guests at a slightly higher effective rate.

Should A-list and B-list guests be counted the same way?

For budgeting purposes, count only the guests you expect to actually attend — if you're using a tiered invite list (inviting a second round of guests if others decline), run this calculator against your realistic final headcount rather than your full combined list, since that's the number your caterer will bill against.
